This Privacy Policy explains how Synapse ("the Bot", "we", "us", or "our") collects, uses, and protects information when you use or interact with the Bot or dashboard within Discord. Synapse is a public bot designed for multiple Discord communities.
1. Information we collect
We collect and process information needed to provide the Bot's features. Depending on your use and the features enabled by a server administrator, this may include:
- User information: Discord user IDs, usernames, display names, avatar identifiers, server membership and roles as provided by Discord, and information needed to sign in to and authorise use of the dashboard.
- Server information: Discord server IDs and names, channel and role IDs, and administrator-selected settings used to configure the Bot.
- Content and command data: information needed to carry out Bot features. For example, ticket transcripts may contain ticket messages, participant and staff names, timestamps, and ticket ratings. Other features may store related settings or records such as moderation actions, suggestions, events, giveaways, birthdays, levelling profiles, or verification configuration.
- Optional FiveM verification: when enabled by a server administrator, a server's FiveM integration sends a linked Discord user ID to verify a recent join. Pending join matches are held temporarily for up to 15 minutes. The integration key is stored as a hash rather than as the original key.
2. How we use information
We use collected information solely as needed to:
- Provide, operate, and maintain the Bot's features.
- Authenticate dashboard users, check server access, and save server configurations and feature settings.
- Prevent abuse, spam, and violations of Discord's policies, and protect the Bot and its users.
- Troubleshoot errors and maintain the Bot's performance.
3. Data storage and retention
- Storage location: Synapse configuration and feature data are stored in a JSON data file on the server running the Bot. The hosting provider and physical storage location depend on where the Bot is deployed.
- Retention period: data is retained while needed to provide the Bot's features. Moderation case records are retained per server (up to 5,000 recent Synapse actions), and warning records are retained until cleared or removed with server data. Some data, such as closed ticket transcripts, may remain stored until it is removed or a deletion request is processed.
- Data removal when the Bot is removed: removing the Bot from a Discord server stops its access to that server, but does not currently automatically delete that server's saved configuration or feature data. Contact us to request deletion.
5. Your rights and data control
- Access and portability: you can request a copy of information stored about you or your server.
- Deletion: you can request removal of your user or server data by contacting us. We may need to verify the request and may retain information where required by law or necessary for security.
- Opt out: you may stop using the Bot, revoke its access through Discord, or ask a server administrator to disable its features. Removing the Bot prevents further Bot activity in that server but does not automatically erase previously stored data.
6. Children's privacy
The Bot is not directed at children under the age of 13 or the applicable minimum age in their jurisdiction. In accordance with Discord's Terms of Service, users must meet Discord's minimum age requirements to use Discord and the Bot.
7. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. The current version and its effective date will be posted on this page. Continued use of the Bot after changes take effect indicates acceptance of the updated policy.
